Epoch Archiving offers three primary ways to index your files.
Full-Text Indexing
Full-text indexing is the process of performing Optical Character Recognition (OCR) on all documents. The OCR process allows images of text to be converted to alphanumeric characters with almost perfect accuracy. Once documents are converted to fully-text indexed images, users can then locate any words or phrase that appears in the document.
Index Fields
Index fields allow users to locate necessary documents out of millions in seconds. Using index fields is as opposed to full-text searches is important when the topic of the search is more important than every occurrence of a particular word or phrase. Also, when documents contain images without printed text, you’ll find it necessary to label these using index fields to find and access them later.
Folder/File Structure
This is the same method used in your basic Windows Explorer. This method allows for organization through a nested folder structure. This method will help ease the transition from a paper filling system to an electronic one, in turn helping you documents in an efficient manner.
